You simply specify the number of people in each of 3 groups that you need
each hour of the day and day of the week and then assign them to work
hours. The work hours are assigned by entering the number of hours to work
in one of the columns on the scheduling sheet. For example if you want
someone to start an 8 hour shift at 7:00 AM on Tuesday you enter an "8" in
the Tuesday 7:00 AM column and the person will be scheduled for an 8 hour
shift. It just can't get any easier than that.
You can assign up to 3 shifts a day to
each person by simply placing a number in one of the time columns. The
scheduling is flexible enough so you can assign someone to work 6:00 AM to
8:00 AM then 11:00 AM to 2:00 PM and again from 5:00 PM to 7:00 PM for a
total of 7 hours.
A chart at the top of the scheduling sheet displays hours assigned and
hours still needed for each group and each hour of the week to let you
know when you have made enough shift assignments. Horizontal bars on the
scheduling sheet show which hours each person is scheduled to work to help
you in finding someone for a shift (group of hours). Up to 4 weekly
schedules can be prepared and any shift assignments that go past midnight
on the last day of the week are carried forward to the next week
You can define up to 10 vacation periods
for each employee and the spreadsheet will not allow you to assign hours
to someone who is scheduled for a vacation day.
The spreadsheet creates several different calendars and schedules
including a file that you can import into your Outlook e-mail program or
PDA so you will always have your schedule available for easy reference.
