A 52 Week Template-Based Schedule With Shift and Tasks

 

Why do I need this spreadsheet scheduler

This scheduler is ideal if your employees work a regular schedule of shifts and days off and you want to create a schedule for up to 52 weeks at a time and assign your employees to daily tasks or assigning skills to your employees while managing vacations, overtime and coverage of unfilled shifts. It is often used to create 24/7 schedules for manufacturing plants, law enforcement agencies and other organizations with full time employees working a full time schedule with rotating days off. Scheduling patterns (templates) can be up to 42 days long and consist of 8 hour, 10 hour, 12 hour or other length shifts mixed with scheduled days off.

Simply input your employee names and their task qualifications or skills, define your shift start and stop times, select a template and assign template "legs" to your employees to create your schedule for 52 weeks. You can use one of the 8 hour, 10 hour or 12 hour shift templates that come with the spreadsheet or create your own pattern of shifts and days off. Then define hourly or daily tasks and assign them to qualified employees.

It shows you exactly what you need to know to manage your business

The vacation schedule lets you assign people to vacations, training or other absences and then assign others to fill the vacated shifts. The overtime scheduler keeps track of overtime hours assigned to each employee and lets you know who is available and due for an extra shift each day. An overtime signup sheet is produced to show what vacated shifts are available for overtime volunteers each day. Numerous reports and charts show the people and skill-mix assigned to each shift and task each day so you can easily spot scheduling problems and shifts or tasks with inadequate personnel assigned. And, a calendar file is created that you can import into your Microsoft Outlook Calendar and to your PDA or Smart Phone so you will have everybody's schedule readily available.

Several different schedules, calendars and other outputs are created for distribution to your employees showing their shift and task schedules for a full 52 weeks. There is also a 4 week calendar that can be e-mailed to each employee and a calendar file showing the shifts for an employee that can be imported into their Microsoft Outlook Calendar and to their PDA or Smart Phone so they will have their 52 week schedule readily available.
